The collection and use of personal data of customers, suppliers, and other contractors

Please note that that we collect and use the personal data you provide to us in order to enter into and perform agreements with you. This applies to our current and prospective customers as well as the parties from which we purchase goods and services.

If you are a current or prospective customer of ours, we use your personal data to send you offers, to ascertain the specifications or requirements of a particular product or service, to deliver goods or carry out work for you, to bill you, and to communicate with you smoothly and efficiently regarding the performance of the agreement.

We also need your personal data to enter into and perform the agreement if you are a current or prospective supplier or other contractor. For purchasing, we need this data to let you know which specifications or requirements a particular product or service has to meet, to ask you for a quote, to place an order with you, to pay your invoices, and to communicate smoothly and efficiently with you about other aspects of the agreement.

You are not obliged to provide us with your personal data. However, if you do not provide us with any or sufficient personal data, we may not be able to perform the aforementioned activities.

What personal data do we collect?

Staka processes your personal data because you use our services or supply us with goods or services. Below is a summary of the personal data we process:

  • Forename and surname
  • Sex
  • Address
  • Telephone number
  • E-mail address
  • Other personal data that you actively provide, e.g. in correspondence and contact by telephone
  • Bank account number

For what purpose and on what basis do we process personal data?

Staka processes your personal data for the following purposes:

  • To perform the agreed work/processes
  • To settle your payment
  • To send you our newsletter or promotional leaflets
  • To call or e-mail you if necessary to performing our services
  • To inform you about changes to our products and services
  • Staka also processes personal data if legally obliged to do so, such as the information we need for our tax return.

Our retention periods

Staka will not store your personal data for longer than is strictly necessary to achieve the purposes for which it is collected. We operate the following retention periods for the following categories of personal data:

  • Forename and surname à seven years (statutory obligation)
  • Address à seven years (statutory obligation)
  • Sex à a maximum of seven years after termination of the agreement (performance of the agreement)
  • Telephone number à a maximum of seven years after termination of the agreement (performance of the agreement)
  • E-mail address à on unsubscribing from our newsletter or a maximum of seven years after termination of the agreement
  • Other personal data that you actively provide, e.g. in correspondence and contact by telephone à a maximum of seven years after termination of the agreement
  • Bank account number à seven years (statutory obligation)

Transfer to third parties

As part of the performance of a future agreement with you, we may need to pass on your personal data to parties that supply parts, materials, and products to us, or which carry out work on our behalf. We use external server space for the storage of some of our sales and purchasing records, which includes your personal data. For this reason, your personal data will be passed on to our server space provider. We also use Microsoft Office and the associated storage options for e-mails and other files. Finally, because we use a newsletter e-mail service, we pass on your personal data to the provider of this service.

Direct marketing

If you have given us your permission to do so, we will retain your personal data and use it to inform you personally by e-mail about our current and new products as well as future services or to make you an offer for them. Each time we send you an advertising e-mail, we give you the opportunity to let us know that you no longer wish to receive it. To do so, you can use the unsubscribe link at the bottom of each e-mail.

Cookies

We use cookies on our website. A cookie is a small file that is sent with pages of our websites and stored by your browser on the hard disk of your computer. The information it contains may be sent back to our servers when you visit our website again. Once you have given your consent, we place a cookie on your computer, which can be retrieved as soon as you visit a website in our network. This lets us know whether you have also visited any other websites in our network. The resulting profile is not linked to your name, address, e-mail address, etc., but only serves to match advertisements to your profile to ensure that they are as relevant as possible for you.

Personal data retention period

If you have asked us for an offer but have not become a customer of ours, we will delete your data seven years after our last contact. Likewise, if we have received an offer from you, but have not become one of your customers, your personal data will be deleted seven years after our last contact at the latest. If you have become a customer of ours or we have become one of yours, we will store your personal data in accordance with the retention periods set out above.

Your rights

You have the right to ask us to allow you to access your own personal data. If there is any reason to do so, you may also ask us to supplement your personal data or to rectify any inaccuracies. You also have the right to ask us to erase your personal data or to restrict its use. You can also object to the collection and use of your data or file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). You may ask us to send your personal data to you or to transfer it to another party.
